You Will Be Responsible For:
Coordinate the processing of immigrant and non-immigrant visas (e.g., H-1B, J-1, O-1, TN, E-3). Liaison between our departments and external legal counsel. Process incoming and outgoing correspondences; as well as, maintain records and work with outside counsel. These activities may include the following, but not limited to:
Maintain Public Access Files (PAF) for public inspection, in connection with H-1B and E-3 filings.
Post “Notice to All Employees” (Job postings) for purposes of filing PERM Labor Certification cases with the Department of Labor.
Coordinate conference calls and meetings between outside counsel and managers when the need arises.
Provide outside counsel with job profiles for Nonimmigrant and Immigrant cases.
Proactively communicate with employees, HRBPs and other relevant contacts regarding the status of their employer-sponsored visa cases and extensions. Provide relevant tax status to payroll.
Facilitate both application and maintenance of lawful immigration status and employment authorization for employees and candidates. Maintain and monitor all active immigration cases, gather updated immigration support documents, provide regular reporting on case progression and key milestones.
Provide immigration/country entry required documents to support business travel for those travelling outside the Region and for Visitors to the Region including passport and visa applications.
Maintain centralized immigration folders on all visa cases. Lead various internal reviews or audits of immigration data, processes and policies. Ensures compliance with all aspects of the Exchange Visitor Information System (SEVIS) and other federal laws. Maintain and update documents to meet department of labor requirements for immigrant and non-immigrant visas, to include public inspection files and thresholds for Avant, as well as labor certification requirements
Identify needs and coordinate training regarding topics of interest to the international populations and departments that provide services to or employ internationals. Present business leaders and HR personnel with immigration regulation updates and information. Design and prepare report metrics for all immigration processes and programs
Prepare, copy, and scan documents to formulate petitions to be filed. Prepare packages for shipping and maintain accurate tracking records. Under direction request payments for processing and update Avant’s expense tracking system.
Qualifications
What You Will Need:
Bachelors’ Degree or equivalent work experience
2 or more year of experience working with US immigration processing
Advanced proficiency in Microsoft Word, Excel, Sharepoint and Outlook.
Effective verbal and written communication with individuals of all levels and backgrounds.
Experience in a culturally diverse environment.
Experience working with H-1B, J-1, O-1, TN, E-3 nonimmigrant and immigrant visa petitions, preferred
HRCI PHR or SHRM-CP certification, preferred
Notary Public in the State of Florida, preferred
Job Summary:
The Immigration Coordinator (IC) will support the US-inbound immigration needs of all sectors across the organization. The IC will process a high volume of complex immigration matters in a fast-paced environment. The IC will be collecting, organizing and reviewing documentation in support of company-sponsored immigrant and non-immigrant cases including, but not limited to, maintaining client, candidate and employee files, collaborating with outside counsel and in-house leadership and providing supporting documentation on a variety of time-sensitive matters.
